Invite a new user
You can invite a new user via Settings > Manage Users > Invite New.
Please see the Invite a new user to Gentu article for more information.
If the newly signed up user is a clinician/provider, there are some additional details that should be configured after inviting them.
- Navigate to Settings > Manage Users
- Select the user's name.
- Open the Practitioner Details tab.
- Tick the Billing Provider checkbox.
Note: if you do not have a Subscription available to mark this new user as a provider, please contact our Sales team to arrange this. Call (07) 3870 4085, or email sales@geniesolutions.com.au.
When the Billing Provider checkbox is ticked, it allows the user to have the below features generated in their name:
- Invoices
- Quotes
- Procedures
- Theatre Lists
- Letters
- Financial Reports
- Pathology Requests
- Print a prescription
Provider Numbers (Sites of Service)
Please see the Provider Numbers and Sites of Service article for information on adding Provider Numbers.
If the doctor/clinician is going to use Gentu's Prescribing module, their Prescriber Number should be entered into the Prescribing table in Practitioner Details.
- Navigate to Settings > Manage Users
- Select the user's name.
- Open the Practitioner Details tab.
- Scroll down to the Prescribing section.
- Enter the doctor's Prescriber Number.
- Select the Prescriber Type.
- Press Save at the bottom of the page to confirm the changes.
To have the new provider appear in the Appointment Book:
- Navigate to Settings > User Columns.
- Tick the Appointments checkbox corresponding with their name.
The new provider may wish to set up their own letterhead in Gentu.
This can be done via Settings > Letterhead Templates.

Note: Currently only the Default letterhead is used for all invoices and quotes. You may also wish to update your Default letterhead to include the new doctor's details.
There are several additional, optional settings that you may wish to configure for a new provider.
The Reasons for Encounter list can be pre-populated with presenting problems typical to your practice or specialty for easy selection when adding patient consult notes.
You can edit this list via Settings > Reasons for Encounter.
Click the + icon to add new Reasons for Encounter.
Reasons for Encounter can be easily selected when creating a new Consult Note.
A billing set is a group of items which you might commonly bill in combination.
Billing sets are used as a shortcut to add multiple item numbers to an invoice/quote at the click of a button.
To add a new Billing Set:
- Navigate to Settings > Billing Sets.
- Select the Create New button.
- Enter a name for the Billing Set.
- Add the billing items.
- Save out of the window.
To edit or delete a Billing Set, you can:
- Open Settings.
- Navigate to Billing Sets.
- Click on the set you wish to edit.
Once in this window, you can:
- Add items by searching for them in the Add a billing item field.
- Remove an item from the set by clicking on the 'x' to the right of its description.
- Delete a Billing Set by selecting the Delete button.
Once you are satisfied with the edits made, you can save the changes by selecting the Save button.
You can add a custom fee schedule by:
- Opening Settings
- Navigating to Billing Items & Fee Schedules (under the Billing And Fees heading)
- Selecting the Add Fee Schedule (next to the Custom Schedules heading)

For instance, the new doctor may wish to set up Multi-Factor Authentication (MFA).

New users in a non-provider role (e.g. receptionist, bookkeeper) will only need to enter their personal details into the signup window, or later via Settings > Manage Users.
You may also wish to ensure that the new non-provider user is added to the appropriate user role group and their permissions are set accordingly.
> How can I re-invite a user after their invitation has expired?
To re-invite a user:
- Open Settings > Manage Users.
- Select Invite.
- Place the same address in the invite.
The invitation will then be resent to the user.
