Brand consistency is key for a professional approach, and Gentu can help you achieve this, with the ability to store and apply multiple letterheads to your letter templates.
By having a different letterhead for each of your templates or on a per-doctor basis, you can maintain your personal branding on all correspondence.
Creating a Letterhead
Before you can begin writing your correspondence, you will need to create your professional letterhead within Gentu. This is done through Settings > Letterhead Templates.
To create a new letterhead, you simply need to click on the plus icon. This will take you into the Letterhead window where you may use the tools provided to create a new letterhead, and give it a name.
Alternatively, if you have been sent a letterhead design by a graphic design company, then you can use the Insert Image button to insert your image:
When you have finished designing your template, you will need to click Save.
Applying a Letterhead at a Template Level
You would apply a letterhead at a template level if you wanted a particular letterhead to be selected by default on a specific template. For example, if you had a letterhead you wanted to use when writing a medical certificate, which is different to the letterhead you would use for all other templates, then you would apply this letterhead to your medical certificate template.
To apply a letterhead at a template level, follow these steps:
- Open Settings > Letter Templates.
- Highlight the template you wish to change, and then click Edit.
- Click into the existing letterhead area, and select your chosen letterhead from the drop-down menu provided:
- Your chosen letterhead will then be inserted
- Save your template
From now on, each time you choose to write a letter using this template, the letterhead you selected will be inserted by default.
FAQ
What if I want to change the letterhead just for one particular letter?
You are able to use a different letterhead on a particular letter by opening the required letter, and clicking into the letterhead area. This will allow you to select from your list of saved letterheads. This would be particularly useful if the doctor worked from multiple locations, and you had a letterhead set up for each location.
When I go to create a new letterhead, my old letterhead appears. Why is this?
The first letterhead that you create within Gentu is your default letterhead. When you create another letterhead, the information from the default letterhead is loaded so that you may use it as a basis for your second letterhead if required. This would be useful if you wanted to use the same letterhead as usual, but you needed to change the address details.
If you want to have an entirely different letterhead, then you can click on the plus to create a new letterhead, and delete all of the pre-populated information. This will leave you with a blank slate where you can create your new letterhead.
